The Arbor Data step (formerly known as the "Send Something" step) allows you to automatically push medical information captured in a workflow form directly into a student’s profile in the Arbor MIS.
This article will guide you through how to configure this automated step within your school or MAT workflow.
How it Works
The Arbor Data step bridges the gap between your workflow forms and the student’s permanent record. When a workflow is triggered (for example, a parent submitting a medical update form), Arbor Workflows processes the information and automatically creates the medical note in the Arbor MIS under the student's profile.
Tier Availability: This automated step is available for schools on the Core, Comms and Perform tiers, and trust users on the MAT Plus and Advanced tiers.
Configuring the Fields
To set up this automation, you will need to map the information from your workflow trigger form to the corresponding fields in the Arbor MIS.
Below is the data mapping guide for creating an automatic medical note:
| Field Name | Data Capture Format / Source | Description |
|---|---|---|
| Arbor Student Record | Option Set | Select My Arbor Data: Student to ensure the note attaches to the correct individual. |
| Title for note | Text | The heading or subject line for the medical note (e.g., "Nut Allergy Update"). |
| Note to add | Text or File Upload Question | The core details of the medical condition or update. This can pull directly from a text question answered in a previous step. |
| Applicable file | File Upload Question OR PDF of a workflow step | Allows you to attach supporting evidence (e.g., a doctor's letter). You can upload a file directly or automatically generate and attach a PDF summary of a previous workflow step. |
Step-by-Step Setup Guide
Adding the Step
In the Workflow Builder, click the + (Green Icon) to add a new step.
Select Arbor Data from the steps menu.
Choose the Arbor data to manage as the destination.
From this list, we will select Add Medical Note.
Map Your Form Data: Use the tag selector to map the answers from your workflow to the Arbor Student Record, Title for Note, The note to add and File to attach fields.
Once activated, any time this workflow runs, the student's medical record in the main Arbor MIS will update instantly, keeping your administrative and safeguarding teams perfectly in sync.
