The Arbor Data step (previously known as "Send Something" in Habitude) eliminates manual double-entry by instantly pushing notes captured within a workflow form directly onto a student's profile inside your Arbor MIS.
Because Arbor Workflows is a built-in addition to your MIS rather than a separate product, these updates happen securely and natively in real time.
How it Works
Every workflow begins with a Trigger Form to capture essential data (such as an SEN review request or an external specialist's report summary). When that workflow runs and reaches the automated Arbor Data step, the platform securely routes the captured text or files straight onto the student’s record in Arbor.
Tier Availability:
Schools: This is available to all tiers that have Workflows. Available on Core, Comms and Perform.
MATs: This is available to all MAT users who have Workflows. Available on Plus and Advanced tiers.
Configuring the Fields
To set up this automation, you must map the components of your workflow form to the corresponding fields required by the Arbor MIS. Use the data mapping layout below to help to configure your step:
| Field Name | Data Capture Format / Source | Description |
|---|---|---|
| Arbor Student Record | Option Set | Select My Arbor Data: Student to ensure the SEN note attaches to the correct child's profile. |
| Title for note | Text | The heading for the SEN record in the MIS (e.g., "EHCP Strategy Update" or "Speech & Language Assessment"). |
| Note to add | Text or File Upload Question | The core details, observations, or text summary of the SEN adjustments being recorded. |
| Applicable file | File Upload Question OR PDF of a workflow step | Attach supporting evidence (e.g., an educational psychologist PDF) or automatically generate a PDF summary of a previous step in this workflow. |
Step-by-Step Setup Guide
Insert the Arbor Data Step:
In your workflow builder, click the + icon and select Arbor Data.
Select the 'Create Student SEN Note':
Map Your Form Variables: Linking the data.
Click into each field and tag the step:question where this information is collected. If tags are unavailable it may be because the question that captures it is not in the required format. This will need changing for the tags to appear.
Attach Supporting Documentation:
If your form includes a file upload question (like a signed EHCP or medical letter), map that question to the Applicable file field. Alternatively, select to attach a PDF of the workflow step.
