To delve deeper into understanding what exactly a workflow encompasses, you can check out our articles What is a Workflow? and Workflows.
To get started creating a workflow, the first step is to log into your account.
You access this directly from your MIS or by logging into: https://workflows.arbor.education/login
Once you're logged in, you'll notice tabs at the top of the homepage. These will be a combination or all of the following dependent on your permissions→ Activity, My Things, and Workflows.
Once access is granted you will default onto the 'My Things' tab.
Click on the Workflows tab to access your workflow index, which is a collection of all the workflows you have access to view. You can preview what this will look like below.
From this point, simply click on the green '+ New Workflow' button located in the 'Select Workflow' box.
This action will prompt you to select whether you would like to 'Start from a template' or Start from scratch'.
If you select 'Start from a template' you will be directly to the template library to browse our collection of templates. You can find more information about starting from a template here.
If you have selected 'Start from Scratch' you will be prompted to enter a the Name for Workflow and the Part of Collection it belongs to. The Name is how your workflow will be displayed and may be visible publicly, depending on the process and how you set it up. The Part of Collection refers to what Collection the workflow will sit within. Your organisation can decide to group the workflows how they want but most find it helpful to group workflows together that tackle similar processes. e.g HR, Quality of Education, Finance.
Once you have entered the Name and Collection for your workflow, select 'Create Workflow'.
To kick things off, your first task is to establish an initial step for your workflow. Typically, this step involves a form. The form can be one that you actually want a user to complete to collect all details for the process or simple some details added to trigger a process. The form might be triggered in different ways: manually, as a bulk upload, from MyNewTerm. You can refer to the article Setting up a Trigger Form for guidance. Additionally, Creating a Form will have further helpful guidance.
To add additional steps to your workflow, simply click on the 'circular green +' icon. This action will present you with a range of options for the types of steps you can include in your workflow.
We've put together some handy guides to help you understand each of these in more detail:
These guides should give you everything you need to build your workflows. Once built, it is essential to test your workflow and ensure everything is as you want before you deploy it. You can find all the details on how to do this here.
