Introduction to Assets in Arbor Workflows

 

In Arbor Workflows, an Asset is any external resource—such as a document, a web link, or a template—that you want to include as part of your automated processes.

By using Assets, you can ensure that the right information reaches the right person at the right time. Whether it’s a policy document that needs signing, a link to a training video, or a specific form, managing these through the Asset Library ensures consistency across your school or MAT.

 

What is the Asset Library?

The Asset Library is your central repository for all files and links used in your workflows. Instead of uploading the same document to multiple different workflows, you can host it in the Asset Library and reference it whenever needed.

Key Benefits:

  • Version Control: Update a document in the Asset Library once, and it updates across every workflow using that asset.

  • Consistency: Ensure all staff are using the most up-to-date versions of school policies or forms.

  • Efficiency: Quickly search and attach existing assets to new workflow steps without re-uploading.

 

Types of Assets

There are two primary types of assets you can manage within Arbor Workflows:

 

1. File Assets

These are physical documents uploaded directly to Arbor. Common examples include:

  • Staff Handbooks

  • Blank PDF forms for manual completion (HMRC New Starter Checklist)

  • Policy documents (e.g., Safeguarding or Health & Safety)

  • New starter information packs

2. Link Assets

These are external URLs that you want to direct users to during a workflow step. Common examples include:

  • Online training videos (YouTube/Vimeo)

  • External survey links

  • Official government or DfE guidance pages

Accessing Assets by Tier

The ability to use and manage the Asset Library depends on your Arbor 2026 package:

For Schools:

  • Core: Does not include the Asset Library. Core users have access to two-step workflows and basic templates.

  • Comms & Perform: Full access to the Asset Library. You can create, edit, and attach assets to any of your multi-step workflows.

For MATs:

  • Essentials: Central teams can view school-level workflows but primarily focus on MAT MIS roles.

  • Plus & Advanced: Full access to the Asset Library at the MAT level. This allows central teams to "Push Down" workflows to schools that include standardised MAT-wide assets.

 

How to use Assets in a Workflow

Once an asset is in your library, you can pull it into various workflow steps:

  • Messages: Attach a file asset or embed a link asset in an automated message.

  • Forms & Checklists: Provide a link asset as "Reference Material" for a human to review before completing their task.

  • Decisions: Attach the specific document an approver needs to review before they select 'Yes' or 'No'.
