Logging into Arbor Workflows: A Guide for External Users

If you are a parent, supplier, or contractor, you may be asked to interact with a school or Multi-Academy Trust (MAT) via Arbor Workflows.

Arbor Workflows is the automation engine for the Arbor MIS (Management Information System). It allows schools to streamline processes—like onboarding, contract approvals, or data collection—by sending digital forms and checklists directly to the people who need them.

As an external user, you do not need full access to the school’s internal MIS to complete your tasks. Instead, you will use a secure, streamlined login process.

 

1. Accept Your Invitation

Before you can log in for the first time, you must be invited by the School or Trust. This will be in the form of an email as part of a workflow (process) they would like you included in.

  • Check your inbox: Look for an invitation email from the school or trust you are working with.

2. Access the Login Page

Once your account is set up, you can access your tasks at any time by visiting the dedicated Workflows URL: 👉 https://workflows.arbor.education/login. your invitation email may also include a link to a task to complete. This will take your directly to the task, or if after 48 hours when the direct access button has expired, will ask you to enter your email address to be sent an access link.

 

3. Log In via "Magic Link"

To keep your data secure without requiring you to remember another complex password, Arbor Workflows uses a Magic Link system:

  1. Enter the email address associated with your invitation.

  2. Check your email for a unique Login Link sent by Arbor.

  3. Click the link in the email, and you will be automatically navigated to your Arbor Workflows homepage.

4. Navigating 'My Things'

When you log in, you will land on the 'My Things' page. This is your personal dashboard where you can see everything that requires your attention.

From here, you can:

  • View Pending Tasks: See any Forms or Checklists you need to complete.

  • Track Decisions: Review any approvals or "Yes/No" decisions assigned to you.

  • Submit Information: Securely upload documents or details requested by the school.

 

Need Help?

If you are having trouble logging in or cannot find your invitation email:

  • Verify your email: Ensure you are using the exact email address the school has on file for you.

  • Contact the School/Trust: If the "Magic Link" does not arrive, please contact the school’s administration team directly, as they manage your access permissions.
