In Arbor Workflows, Arbor Roles will show you the Arbor business roles that have synced from your MIS which you can then use as Tags in your Workflows when building them. Where a role can be used, and it matches the recipient for carrying out a Task in a workflow, or receiving a message in a workflow, then it makes sense to use an Arbor Role rather than a Custom Role.
You will need correct Permissions that allow you to 'Administer Assets and Custom Roles' to be able to see Arbor Roles.
It is important to note that a user may now get permission and visibility of a workflow due to their Arbor business role. This is because they may have a role that holds high permissions level and the same assumptions that operate within the MIS are now also true within workflows. For example, a user within the 'Data Manager' role may see workflows that relate to there school even if the workflow does not directly cite them as a follower.
Which roles show as Arbor Roles?
You will be able to see roles from your own context, so if you're logged in via the School MIS, you will see the roles for your school. If you're logged in via the MAT MIS, you will see the roles for your MAT and also the schools in the MAT.
Not all Arbor Business Roles will be visible. The criteria for a Business Role appearing in Arbor Roles in Arbor Workflows is as follows:
- There is at least 1 person and fewer than 4 people assigned to the Business Role i.e. between 1-3 people assigned to the role;
-
For MATs to be able to use a school level role, it is populated for all schools in the MAT.
How to use Arbor Roles
You will be able to view Arbor Roles by going to Settings > School Settings > Roles:
You will not be able to edit the Arbor Roles from within Arbor Workflows - that will need to be done in Arbor MIS - but you will be able to see who is named against those roles by selecting where you want to see the address of the person/people assigned to the Roles:
To use Arbor Roles in your Workflow you can use the Tag picker in the workflow editor from the 'This' tab (where you currently select Custom Roles from). They will be differentiated as Arbor Roles by an Arbor icon in the tag picker.
Updating Arbor Roles
If you have made changes to roles in Arbor MIS that haven't updated in Arbor Workflows yet, you can manually Sync from the Settings page:
