How do I add a new Collection?

Creating and Managing Workflow Collections

Collections (formerly known as Habits) are a powerful way to group related workflows together.

 

What is a Workflow Collection?

In Arbor Workflows, a Collection acts as a folder. While a single workflow might handle a specific task (like an "Approval for Leave" form), a Collection allows you to see the all the processes you have set up as workflows that relate to a specific area such as Finance, HR and School Improvement.

For example, a HR Collection might include:

  1. Onboarding / Induction workflows

  2. Probation Workflows

  3. Appraisal Workflows.

  4. Leaver Workflows

 

How to Create a New Collection

Follow these steps to create a new collection:

 

1. Access the Workflows Dashboard

Log into your Arbor MIS and navigate to the Workflows tab. Ensure you have the 'Workflows' tab visible when in Arbor Workflows. If you do not, you will not be able to add a new collection.

2. Create New

Click the (+) button next to Collection (previously known as a 'Habit'). Once you have selected this a slide over will appear on the right-hand side. 

 

Enter what you would like the collection to be called and select + Add collection.

You will then see your new collection in your list. 


Collection Settings

Once you have created your Collection or to edit an existing Collection, if you have permission to, Select the cog in the 'Select Workflow' drop-down. 

This will open a slide over on the right-hand side where you can manage who has access. You can manage this by 'People' for person specific access or 'Role' level to give role based access. For our HR Collection, let's ensure that everyone we would like to have access to the workflows that will sit within it, has access. I am going to use the 'Role'  option and add HR Manager (which has already been set up as a custom role).

If you want to give workflow level permissions but not access to the full collection you can manage this via the deploy tab (Publish button) from within the Workflow Builder. You can find out how to do this here: Managing Permissions - Collection + Workflow
