Editing already submitted forms

It is possible on Habitude to edit already submitted forms. Whether it be due to an error on submission or change of circumstance, being able to edit forms gives workflows additional flexibility. Making edits do though add complication to a workflow run, so read on to ensure you understand all implications before making changes!

 

First - how do I make changes to forms?

To edit a form, you simply need to head to the Activity page and find the relevant workflow run. Once located, find the form you would like to edit, click cog on the form step you need to edit and edit form.

This will take you to our forms page and allow you to being editing.

First, you will be notified of which form you are going to be editing.

 

Having clicked Begin Editing , you will then be shown a series of statements, reminding you of the implications of making changes to a form.

These statements are important → let’s look at these in a little more depth.

  1. Edited response will be overwritten
  2. Any tags linked to this data will be updated
  3. A new PDF will be generate for this step. If none exist, you can create once manually from the Activity page or view PDFs here.
  4. Completed steps won't re-run - existing data and PDFs may already have been shared via Arbor Workflows or third-party services.

 

What implications does this have?

  1. Any tags throughout the workflow that reference this form, will now take the responses from your edited form.
  2. We will generate a new PDF for your edited form, adding this to your Activity page documents, if the PDF was originally visible from your documents. If not, simply generate a PDF from the Activity page to access if necessary.
  3. We will replace the PDF referenced in the workflow with your newly edited PDF.

 

What about previous steps?

Any steps that have already been ran will not be affected. We will not re-run any previous steps.

This is really important to consider → if the PDF for example has already been shared via an email, we will not re-run this step. It is your responsibility to ensure therefore that staff have the latest updated form.

Equally, this means that any writes to third party services (MIS, HR, Payroll etc) will not carry these changes if they have already happened. You will need to make those edits manually.
